The More Than Board Games Library Members Agreement & User Policy -

1. Joining & membership

Only Members are able to borrow games and items from The More Than Board Games Library (hereafter may be referred to as The MTBG Library).

To become a Member, you must:

(a) Be aged 18 or over 

(b) Have permanent UK residence

(c) Provide correct personal information: Full Name, UK Address, Email Address, Date of Birth

(d) Agree to this Member’s Agreement & User Policy

(e) Provide correct banking information via GoCardless: for automatic payments

(f) Have your personal and payment details checked and confirmed by a More Than Board Games Community Interest Company volunteer or staff member

Memberships will be approved once personal and banking details have been checked by a More Than Board Games Community Interest Company volunteer or staff member.
Members will receive an email confirmation with a Membership Number and date of the next Library Open Day.

2. Contact 

More Than Board Games Community Interest Company agrees to treat your information with respect and will treat your personal data in line with GDPR laws. By signing this agreement, you agree that we may process your information in accordance with these terms. 

The member agrees to be contacted by More Than Board Games Community Interest Company, regarding Membership information, Payments, Fees and important MTBG Library information.
Additional Monthly Library Updates, contact preferences are chosen by the Member at sign-up: these emails can be unsubscribed from by the Member. 

Email correspondence will be made by More Than Board Games Community Interest Company, using Zeffy mailing lists, or from info@morethanboardgames.co.uk.
In some cases More Than Board Games Community Interest Company may contact a Member via Post, using their provided UK address.

More Than Board Games Community Interest Company can be contacted by email at info@morethanboardgames.co.uk or in person at Sandringham Hub, 48 Sandringham Drive, Houghton Regis, Dunstable, Bedfordshire LU5 5UP, by appointment only. 

 

3. Payments 

Payments are handled via GoCardless.
By agreeing to these Terms and Conditions and providing payment details, the Member agrees to allow More Than Board Games Community Interest Company to collect one-off payments in-line with the laid out fees and charges. 
Loaning items from The More Than Board Games Library are charged at £1 per item per week. 

 

4. Borrowing games

All games and items, that are not subject to Loan Time Restrictions, from The MTBG Library are given out on loan for up to 4 weeks.
Any games/items that are subject to Loan Time Restictions will be made clear to the Member at the time of collection. The loan time for such items is determined by More Than Board Games Community Interest Company. 
A Member may have up to 4 games/items on loan at one time. 

Once games/items are borrowed, the Member is fully responsible for it until returned to The MTBG Library. Members are responsible for other people’s use of that game and all constituent parts, and any loss or damage that arises as a result of other people’s use. Please ensure anyone playing the game keeps the game and game pieces in good condition. 

More Than Board Games Community Interest Company ​reserves the right to refuse the loan of any game​ at its discretion.

If a member loses or damages a game piece, game or item, please contact More Than Board Games Community Interest Company as soon as possible, by email, so pieces can be replaced for the next Member. If the lost/damaged piece prevents other members from playing the game, Members may be charged to cover the full replacement costs. 

The MTBG Library volunteers/staff will check all games and items within 2 working days of being returned to The MTBG Library. Members will be contacted via email within those 2 working days, regarding any damages, missing pieces, and fees to be charged. 

 

5. Returning Games and Late Charges

Members must return games by the agreed date, during specified Open Library Days’ hours. If Members are unable to return loaned items for whatever reason, please contact info@morethanboardgames.co.uk as soon as possible to amicably arrange an alternative.
More Than Board Games Community Interest Company Team would much rather discuss the matter, than be forced to charge fees. 

If a game/item is returned late, Members will be liable for a Late Fee​.
Late Fees are fixed at £5 per item per overdue week.
If after 4 weeks of no contact from the Member, or if More Than Board Games Community Interest Company have not received the overdue items, the Member will be charged a Replacement Fee plus a £25 Administrative Fee per game.

Late Fees, Replacements Fees and Administrative Fees must be paid in full before borrowing further games.
Replacement Fees is determined by the reccomended retail value (RRP) of the item and how much it will cost More Than Board Games Community Interest Company to source and replace.
If an item cannot be sourced or replaced, it is down to the discretion of More Than Board Games Community Interest Company to determine the appropriate value to be charged as a Replacement Cost. 

The Member agrees to pay for the loss of or damage to any game through misuse, and further agree to accept our assessment of the condition of items and further agree to our assessment of fair restitution for damage, dirtiness, delinquency, and/or loss of games in part or in total.
More Than Board Games Community Interest Company will seek to make any charge for lost/damaged games a fair reflection of the cost of the replacement, but where the entire game is lost/damaged, or the loss/damage is so extensive as to necessitate the purchase of a replacement game, this restitution amount could equal the full replacement cost of the game plus a £25 administrative fee. 

More Than Board Games Community Interest Company ​reserves the right to use appropriate steps to retrieve overdue games/items or unpaid fees, including charging your account via GoCardless. If More Than Board Games Community Interest Company is unable to retrieve fees this way and voluntary payment has not been made by the Member, More Than Board Games Community Interest Company holds the right to use a collection agency and/or take further legal action, and pass on the cost of any such action to the Member.

Theft Act 1968 - Under UK Law, ​”borrowing without the intent to return” is theft​.
More Than Board Games Community Interest Company reserves the right to​ contact ​the police​ to retrieve games ​if it deems such action appropriate. 

More Than Board Games Community Interest Company reserves the right to forgive late fees due to special circumstances, or at their discretion.
Once again, More Than Board Games Community Interest Company would much rather discuss the matter, than be forced to charge fees. 

 

6. Behaviour & Respect 

More Than Board Games Community interest Company, all volunteers and staff members agree to treat all Members with respect.
Members agree to treat all other Members, More Than Board Games Community Interest Company Volunteers and staff members will respect.

More Than Board Games Community Interest Company holds the right to refuse entry, membership, and loan of items to any Member, due to any unwelcoming behavioural reasons.
More Than Board Games Community Interest Company will take appropriate actions to protect Volunteers, Staff Members and other Library Members from aggressive or unwelcomed behaviour, and prosecute the perpetrator if necessary. 

 

7. Closing of Membership Account

If a member would like to end their More Than Board Games Library Membership, they must make contact by email to info@morethanboardgames.co.uk.
A declaration of intent to close a Membership account must be made by email
Once a cancellation has been accepted, More Than Board Games Community Interest Company will provide the Member with a final return date of any outstanding games and items.

A Member cancelling their MTBG Library Membership, is still liable for paying any Late Fees, Replacements Fees and Admin Fees, and adhering to the Agreed Terms and Conditions. 

 

8. Library Open Days

More Than Board Games Community Interest Company aims to offer, 1 Library Open Day per week.
If for any reason, there is a week where a Library Open Day does not happen, More Than Board Games Community Interest Company agrees to extend the return date of all games and items due within this week, to until the next Library Open Day. 

During Library Open Days, at busy times, Members may be asked to wait before entering the More Than Board Games Community Interest Company’s Office. This is for the safety of More Than Board Games Community Interest Company staff and other library Members.

Library Open Days will be listed in advance on The More Than Board Games Website (morethanboardgames.co.uk) with advertised attendance hours.
More Than Board Games Community Interest Company reserves the right to refuse entry to Members who attend the Office outside of the advertised hours.
